Listing Preparation
1. Awesome, you've just executed a listing! Next, you will email me a PDF of all executed documents attached to the RLA. Once received, I will create a file with Paperless Pipeline or your Brokerage software to review for accuracy and completion. I will identify missing information and make the necessary corrections for Agent. Next, I will conduct a thorough review for compliance on all required forms per the listing. I will ensure that you have all documents per your Brokerage checklist. I will email you a checklist update including a list of any outstanding documents. I will then add the outstanding documents to the file, complete the information and submit for Seller signatures. Lastly, after all corrections and additional forms are completed and signed, you will receive a final update status email - "Listing complete!" 2. Introduction email to Seller. After listing is complete, I will email Seller an introduction template with what to expect during the process, a transaction timeline and details to my role as your transaction coordinator. 3. MLS input. I will access your MLS using your login and password and add the listing input, photos, description, showing instructions and any attachments you require. Once completed, I save the input and agent will review, approve and change status to Active Listing. |

Contract to Close1.Collect all executed documents, loan information, title information, client info etc. and Open Title! 2. Introduction Email to all parties 3. Start file with Brokerage compliance software or Paperless Pipeline 4. Send out timeline with all contract dates to all parties 5. Setup transaction tasks and set reminders to verify deadlines are met 6. Coordinate delivery time and place of option and earnest money. Track the receipt page. Make sure Title has executed contract, survey, and SD. 7. Monitor the option period - send reminders for signature deadlines on documents. 8. Continue as a liaison for the agent to all parties, including buyer or seller, title company, lender, etc. 9. Share weekly updates with everyone- showing completed tasks and milestones to ensure we are on track for an on-time closing 10. Coordinate docs tax certificate, title commitment, survey, and T-47 according to their respective due dates. Coordinate and/or obtain the HOA documents within the given timeframe 11. Collect receipts from repairs to add to the file (if applicable) 12. Verify Buyer Home warranty preference and share with the title company for order (if applicable) 13. Follow-up and ensure that the third party financing due date is met 14. Check on other addenda needed, send any new amendment(s) or addendums to the other agent for execution and then forward to the title company and lender, as applicable 15. Request/ Order CDA within 7-10 days of closing and submit for signatures before sending it to the title company 16. Track the status of the appraisal and date received 17. Track and verify the status of the “clear-to-close” with the lender and title company 18. Review the closing statement with the agent to ensure accuracy. Get final approval from the agent 19. Send “What to expect” email with instructions for the day of closing, along with information about keys, garage door openers, utilities, etc 20. Schedule closing appointment for client and agent, if needed 21. Schedule final walk-through for client and agent, if needed 22. Give Agent final digital file/ PDF with all transaction documents 23. Remind the agent to update their clients' information with new mailing addresses for their database and send a closing gift 24. CLOSE & FUND 25. Collect payment! |
Pricing
The direct cost for an independent transaction coordinator is relatively simple. Most coordinators charge $350-$500 per transaction and upwards of $800 if they serve in a dual agency capacity. $400 per file is a fairly consistent benchmark for real estate agents using a transaction coordinator.
