1. WHAT IS A TRANSACTION COORDINATOR? A Transaction Coordinator, or TC, is a real estate professional who assists the Agent during the transaction by monitoring each stage of their transactions, from listing preparations to contracts to closings. They handle everything from document compliance, to deadlines, and communication to all parties. The TC keeps track of all specific details and reviews the contracts for completion, accuracy, or any errors. They track tasks, draft addendums, manage deadlines and open escrow. This allows Agents much more time to focus on new prospects to get under contract rather than monitoring their transactions. 2. WHAT IS THE DIFFERENCE BETWEEN AN ASSISTANT OR ADMIN AND A TRANSACTION COORDINATOR? Real estate assistants are usually in office to support a Realtor in a wide range of daily administrative services as needed. Assistants typically take care of everyday office needs such as answering phone calls, greeting clients, running office errands, managing inbox, printing flyers, postcards, basic office management, posting property listings etc. Freeing the Realtor of these tedious tasks allows the Agent to be able to focus on their transactions. Assistants are usually employees with pay every two weeks regardless of whether an Agent has business or not. 3. WHY VIRTUAL, DOES MY TRANSACTION COORDINATOR NEED TO BE IN OFFICE? Your transaction coordinator does NOT need to be in office. In fact, it is more effective to allow a transaction coordinator to work “behind the scenes” where they excel. Their job does not involve greeting office guests, meeting clients or physically working by your side. They do not have to live in your area or even the same state. Their purpose is to manage your files online in order to release you from behind the computer screen and allow you more time to spend “out in the field” prospecting, networking and ultimately SELLING. Independent virtual TC’s are real people working remotely from their own paid office spaces. Virtual (online) services are becoming a new “normal” now more than ever. 4. WHY HIRE A TRANSACTION COORDINATOR? If you are a top producer, or even an Agent who closes a few transactions a month, you may struggle keeping up with the contractual details and timeline of each transaction. You may also feel you do not have enough time managing all your files while also focusing on prospecting, showings, networking etc. This is why you need a transaction coordinator. A transaction coordinator will make sure no details slip through the cracks within your transaction. They are not only organizing, correcting and monitoring your contracts, but also communicating with all parties by email, ensuring your clients are taken care of throughout the entire process. The reliable transaction management a TC provides empowers you as a real estate agent to create a better buyer and seller experience. 5. ARE MY FILES KEPT CONFIDENTIAL? Yes! All paperwork pertaining to each file will be 100% confidential. The documents are only uploaded to the transaction management software and when the transaction closes, the file is archived. 6. WHAT ARE THE OFFICE HOURS? There are no set hours. However, Sunday-Thursday generally 7AM-4PM. Friday’s and Saturday's are on call as needed. File maintenance is done every day. 7. IS THERE A CANCELLATION FEE OR A FEE IF THE DEAL TERMINATES? There is absolutely NO charge to get started and absolutely NO charge if your listing or buyer’s contract terminates. I work with no guaranteed compensation as I fully understand how the real estate business works. My fee is only paid at closing. 8. IF I AM REPRESENTING BOTH SIDES, DO YOU CHARGE ONE FEE OR TWO? One fee! If you are representing both sides of a single transaction, the “contract to close” fee is charged only once. 9. HOW DO YOU GET PAID? My fee is paid at closing. Either your brokerage will list “TC Fee” on your associate commission sheet and pay by direct deposit to my business account. Or you can make the payment independently by direct deposit. 10. WILL I BE COPIED ON ALL CORRESPONDENCE? Yes, I strongly adhere to this rule. You will be copied on every single correspondence I have with your clients and any other party to the transaction. 11. WILL YOU HAVE CONTACT WITH MY CLIENTS? Yes, with your permission in advance, I will be communicating with your clients via email throughout the transaction with you CC’d at all times. 12. WILL YOU BE IN DIRECT COMMUNICATION WITH ALL PARTIES? Yes, I will be in communication with all parties via email starting with my initial Timeline and Team Players introduction email and throughout the remainder of the transaction. 13. DOES A TC HAVE TO BE LICENSED? This varies from state to state, however in Texas, it is required by law to have a Texas real estate license to conduct real estate services as a transaction coordinator. 14. WHAT IS THE DIFFERENCE BETWEEN AN INDEPENDENT TC AND A COMPANY HIRED TC? Some brokerages may offer you in-house TC’s, which are employees. However, an independent TC is a self-motivated contractor who usually offers you a higher quality of service. Independent TC’s still are paid at closing. 15. HOW DOES AN AGENT KNOW WHAT YOU ARE WORKING ON? I provide weekly checklists and contract updates so you always know what I am working on. I am also in constant communication with you throughout the transaction. Whenever you have a request, I respond letting you know I received it and working on it. 16. WHAT MEANS OF COMMUNICATION DO YOU USE? I communicate by email. I am also available by cell phone. 17. WHAT IS THE EXPECTED TURN AROUND TIME ON A FILE? Each transaction usually has a 30-45 day timeline. I work on the file from contract or even listing all the way until closing day. 18. HOW MANY FILES CAN YOU HANDLE? Up to 40 files monthly. 19. WHAT ARE THE AGENTS RESPONSIBILITIES DURING A TRANSACTION? The Agent is responsible for delivering all executed documents to me and allowing me access to your MLS in order to assist with listing input. 20. WHAT ARE SOME OF THE EXACT DUTIES THAT YOU DO?
